How to Export Speaker Notes from PowerPoint

Speaker notes are one of the most useful parts of a PowerPoint presentation—especially for training, instructional design, and narrated presentations. They’re also surprisingly awkward to work with.

If you need to review the notes from an entire presentation, PowerPoint generally expects you to work through them one slide at a time. That’s fine for a few slides. It’s considerably less fun when your presentation has 30, 50, or 100 slides.

Voxprep Notes Export is a small, free utility that exports the speaker notes from a PowerPoint presentation into an editable document. Drag your deck, select your output style and Click Export Notes. That’s it. Instead of clicking through your presentation slide by slide, you get all of the speaker notes in one place where they’re much easier to read, review, search, edit, or share.

It’s especially useful when you need to:

  • Review narration or facilitator scripts
  • Proofread an entire presentation
  • Send speaker notes to a subject matter expert
  • Search for terminology across a deck
  • Archive the written content of a presentation
  • Move presentation content into another workflow

And because Voxprep Notes Export runs locally, your presentation doesn’t need to be uploaded to a web service just to extract its text.

Why I Built It

Voxprep Notes Export started as one feature inside Voxprep, my larger collection of PowerPoint workflow tools.

I work with PowerPoint presentations regularly, and speaker notes often contain a significant amount of the actual content. In training decks, they may contain narration scripts, facilitator instructions, production notes, or information that never appears directly on the slide. Getting that information out of PowerPoint shouldn’t be difficult. So I pulled the notes-export feature out of Voxprep and turned it into a standalone utility. It’s fast, simple, and free.

Need to Put the Notes Back? That’s where the full version of Voxprep comes in. Voxprep can export speaker notes for editing and then import the edited notes back into the presentation. It also includes tools for search and replace, working with presentation audio, splitting presentations by section, and other repetitive PowerPoint production tasks.
